Following the successful implementation of Microsoft Dynamics 365 Finance and Supply Chain Management with BE-terna, Poloplast analyzed inventory and invoice processes across systems—creating a data-driven foundation for decisions, optimization, and automation.

From gut feeling to process clarity

In manufacturing, efficiency, delivery reliability, and quality are defined not just by machinery but by the processes behind them. Poloplast wanted to visualize its actual process flows. After successfully implementing Microsoft Dynamics 365 Finance and Supply Chain Management and joining the preview program for Microsoft Demand Planning, the company took the next step: gaining transparency through Microsoft Power Automate Process Mining.

Together with its digitalization partner BE-terna, Poloplast analyzed two critical processes: internal warehouse movements and incoming invoice handling.

Under the microscope: 138 warehouse process variants identified

For its first use case, Poloplast used the warehouse analysis template integrated in Microsoft Dynamics Finance & Supply Chain Management to examine material flows. The result: 138 different process variants. The visual insights revealed the real-world complexity of operations. Heatmaps made paths, transitions, and frequencies tangible—providing a foundation for targeted discussions on standardization and efficiency.

Data-driven evaluation of warehouse restructuring

A particularly valuable aspect: Poloplast had just completed a major warehouse restructuring prior to the project. Process Mining enabled the company to objectively assess the changes, analyzing movement data, warehouse zones, and throughput times. This provided measurable insights into the impact of the redesign and offered a solid foundation for future structural decisions.

Cross-system transparency: incoming invoice process

In the second use case, the team examined the incoming invoice process. By combining ERP and document management system data, Poloplast achieved complete transparency—from invoice receipt to booking. Bottlenecks, delays, and deviations became clearly visible and served as a basis for further optimization. 

The key takeaway: every system leaves digital traces. Process Mining brings these to light—objectively revealing actual process flows, identifying variants, repetitions, and deviations from target processes.

The analysis delivered more than just efficiency gains. It enhanced audit readiness with fully documented process steps, supported onboarding with clearly visualized workflows, and shifted cross-departmental discussions from assumptions to facts.
