When ENSOL 360 needed to manage up to 25 complex engineer-to-order projects simultaneously spanning design, procurement, international shipping, and on-site installation across more than 30 countries its existing toolkit of Excel spreadsheets, email, and disconnected tools could no longer keep up. With no single source of truth for financial data, no real-time project visibility, and governance gaps that posed a growing security risk, the company needed a platform built for the complexity it was already operating at.

Working with BE-terna, ENSOL 360 implemented Microsoft Dynamics 365 Finance & Supply Chain, Project Operations, and CRM as a connected, end-to-end platform integrated with the company's existing Power BI environment and BIM tooling. The result: full financial control, daily operational visibility, and a governed IT environment that scales with the business.

ENSOL 360 d.o.o. is a Slovenian engineering company operating under the 360 Karting brand, specialising in the design, engineering, and delivery of go-kart tracks and related systems. Each track is developed as a complete business model from gamified riding and competitive racing to driving against time custom-built to match the client's specific concept and market needs.

With over 50 employees and headquarters in Izola and Koper, Slovenia, ENSOL manages the full project lifecycle: from concept design and engineering through procurement, international logistics, and on-site installation. The company has delivered complex engineer-to-order projects across more than 30 countries on every continent, including major markets in the USA, UK, France, Germany, Saudi Arabia, UAE, Indonesia, Vietnam, Canada, and Mexico.

The Microsoft Dynamics 365 implementation covering Finance & Supply Chain, Project Operations, and CRM was delivered in partnership with BE-terna, with integration to ENSOL's existing Power BI environment and BIM tooling (Archicad). The scope covers the entire project lifecycle: from the first sales interaction through engineering, procurement, shipping, installation, and post-project financial close.

The Challenge: Growing Global Operations, Fragmented Tools

As ENSOL 360 scaled its international operations, the absence of a unified platform was creating friction across every part of the business. Engineering, design, sales, procurement, and project management each operated in silos — relying on spreadsheets, email threads, and informal workflows with no consistent structure and no automated connection between departments.

The consequences were felt differently across the organisation, but the root cause was the same: no single system of record, no real-time visibility, and no governance framework capable of supporting a company operating across multiple legal entities, currencies, and regulatory environments.

Across three departments, the pain points were clear:

  • Finance & IT: no centralised platform meant ungoverned processes, security exposure, and manual reconciliation across entities and geographies
  • Project Operations: project finances tracked in shared Excel files with no access controls  anyone could change figures with no audit trail
  • Design & Engineering: hours logged monthly from memory, no task-level visibility, and no automated handoff from engineering to procurement

The company's growth ambitions and the compliance requirements that come with operating in 30+ countries demanded a platform built for scale.

"When we moved to Microsoft, we eliminated a whole set of uncontrolled processes that were not aligned with our security policies. It was a major step forward."

Zlatan Hrvatin, Head of IT, ENSOL 360 d.o.o.

The Solution: A Connected Microsoft 365 Ecosystem

BE-terna implemented a Microsoft 365 ecosystem tailored to ENSOL 360's project-driven, engineer-to-order business model. The goal was not simply to replace existing tools — it was to connect the entire business into a single governed platform, with data flowing automatically across departments and geographies.

Microsoft Dynamics 365 Finance & Supply Chain

A unified financial backbone supporting ENSOL's multi-entity structure across 30+ countries. Dynamics 365 Finance & Supply Chain consolidates financial data across legal entities, handles multi-currency transactions, and covers country-specific tax and VAT requirements — replacing manual, country-by-country reconciliation with centralised reporting and role-based access controls.

Microsoft Dynamics 365 Project Operations

The central hub for project execution. Every team member logs hours daily against specific tasks and phases — replacing informal monthly estimates with real-time visibility. Phase-based scheduling covers the full delivery lifecycle: Design → Engineering → Procurement → Shipping → Installation → Certification. When a deal is won in CRM, project timelines flow automatically into Project Operations, eliminating manual re-entry.

Microsoft Dynamics 365 CRM

End-to-end sales pipeline management from first contact to signed contract. Probability-based opportunity tracking, structured data entry standards, and automated project handoff at deal closure ensure the execution team always starts with complete, accurate information.

Power BI Integration

BE-terna connected ENSOL's existing Power BI environment to Dynamics 365 Finance & Supply Chain and Project Operations — enabling automated data flows without manual extraction. Leadership now has a consolidated, real-time view across all active projects. No changes were required to ENSOL's existing BI setup.

Archicad (BIM) Integration

When engineering completes a project's design phase, the bill of materials is automatically exported from Archicad and loaded into the procurement workflow in Dynamics 365 Finance & Supply Chain — eliminating manual data entry and accelerating the handover between engineering and purchasing.

Security & Governance

Migration to Microsoft's enterprise platform eliminated a significant number of uncontrolled legacy workflows. Centralised identity and access management, role-based permissions, and consistent data governance across Finance, CRM, and project management workloads create a compliance-ready infrastructure for ENSOL's international operations.

Cooperation with BE-terna

The collaboration between ENSOL 360 and BE-terna evolved into a long-term partnership focused on continuous improvement. Following the initial platform rollout, both teams aligned on further priorities — including CRM optimisation, deeper Power BI integration, and the introduction of AI-supported workflows through Microsoft Copilot. The partnership agreement was subsequently renewed and expanded to include full CRM optimisation as an additional scope.

"We've improved communication, set concrete next steps, and agreed on further collaboration. There is a lot of potential ahead — and I'm confident we'll continue on the path we've set together."

Zlatan Hrvatin, Head of IT, ENSOL 360 d.o.o.

"A successful ERP implementation requires a true partnership — the integrator needs to understand your processes, your people, and your strategy. And just as importantly, they need to be able to tell you what you need, even before you know it yourself."

Andrej Glavina, Head of Project Operations, ENSOL 360 d.o.o.

Before and After

Before the implementation, ENSOL 360 operated across a fragmented set of tools with no central system of record. Project finances lived in shared Excel files that anyone could edit without a trace. Hours were logged monthly from memory with no task-level breakdown. Sales, engineering, procurement, and finance each worked from separate data sources, with manual handoffs between every department and no automated connection between them. There was no way to see all active projects at once, and legacy workflows left the organisation exposed to security and compliance risks.

Today, ENSOL 360 runs on a unified Microsoft 365 platform that connects every department into a single governed system. Role-based permissions enforce data integrity across the organisation. Every team member logs hours daily against specific tasks and projects. When a deal is won in CRM, project timelines flow automatically into Project Operations — and from there, directly into Power BI. Leadership has real-time visibility across all 25+ active projects simultaneously, and all workflows are compliant and fully auditable.

Results

The Microsoft 365 implementation delivered measurable improvements across governance, financial control, and operational efficiency — across all three departments and all active projects.
